Administrative Assistant

 

Job Summary


The Administrative Assistant is assigned to the Administrative Division at the Center for Internet Security. Reporting to the Executive Administrative Manager and applicable Executive Staff, the Administrative Assistant will partner with other cybersecurity team members to promote the CIS mission and help continue our growth. The primary purpose of this position is to provide support to executive level staff and staff members at the Northeast Headquarters in East Greenbush, NY. This position calls for an experienced administrative assistant with excellent communication skills and the ability to manage multiple tasks in a changing environment. The ideal candidate will be flexible in their work hours and focused on ensuring that all day-to-day tasks are operating efficiently.

 

Duties and Responsibilities

 

Greet guests in a professional, friendly, hospitable manner
Ensure that all incoming calls are administered and redirected accordingly
Coordinate the distribution of incoming mail and correspondence including faxes and emails
Coordinate office supply orders for the respective units
Organize and prioritize large volumes of information
Proofread correspondence, memos, charts, and presentations for spelling, grammar and layout.
Prepare reports, memos, letters and other documents using software related to word processing, spreadsheets, databases and presentations
Document credit card and travel expenses and provide reconciliation reports to the finance unit in a timely manner
Process internal approvals and coordinate corporate travel arrangements as necessary
Schedule and coordinate complex activities such as meetings, conferences, and organization-wide activities
Work independently and within a team environment on special nonrecurring and ongoing projects
Work collectively and cooperatively with the Administrative Assistant team
Handle sensitive information in an appropriate and professional manner
Perform other duties as assigned

 

Required Qualifications

 

Associate's degree from an accredited college or equivalent work experience
2+ years of relevant experience in an office environment
Ability to work independently on assigned tasks and take direction on given assignments
Detail oriented and maintains a high level of accuracy
Displays a high level of discretion and judgment
Excellent verbal and written communication skills
Ability to multi-task, prioritize and manage time effectively
Excellent interpersonal skills and professional demeanor
Excellent customer service skills
Highly proficient in Microsoft Office Applications

 

 

Preferred Qualifications

 

Experience with Mac environment a plus
Additional Administrative, Personal Assistant or Secretarial Certifications are a plus
